What Is a Virtual Office? Address, Mail and Workspace Explained
Jul 31, 2024 · Mike Thakur

The name doesn't help, does it?
A virtual office sounds like somewhere you log in, possibly wearing a headset. In this case, the important part is a real address and the services attached to it.
You keep working wherever suits you, while a workspace provider supplies business-address and mail services under your agreement. Some plans offer other services too. That's the part to check carefully, because two virtual-office plans can include very different things.
What happens when mail arrives?
Your provider receives mail addressed to your business according to the agreed service. What happens next depends on the plan and its rules.
Ask how notifications work, when you can collect, what happens with packages and whether scanning or forwarding is available. Confirm authorisation requirements, charges and any limits before relying on the service.
If you travel frequently or receive time-sensitive documents, explain that upfront. A clear process is much more useful than a vague promise that everything is taken care of.

What does the address let you do?
A mailing address can help separate your business correspondence from home. Whether you can use it for a particular filing, licence or account depends on that organisation's requirements and your arrangement with the provider.
Don't treat a virtual-office membership as automatic registered-agent cover. That's a separate appointment and responsibility. Our registered-agent guide explains the distinction.
Check each intended use before updating records. It's easier than changing them twice.

Does it include somewhere to work?
Possibly, but don't assume it includes a permanent desk, a private room or unlimited meeting bookings. Ask what workspace access comes with the specific plan and what you pay for separately.
Coworking is a place to work in a shared setting. A private office is a room reserved for you or your team. A virtual office is primarily an address-and-services arrangement.
These options can work together. They aren't interchangeable.

What about phone services and Google listings?
Phone answering, call handling and similar services may be separate options. Confirm the exact service, hours and cost if you need them.
A virtual-office address alone does not qualify you for a Google Business Profile. Google's rules distinguish mailing services from eligible operating locations. Read the current guidelines before treating a listing as part of the plan.
A good address doesn't come with a guaranteed place on the map.
How to compare the cost
Look at the recurring charge, any setup costs, the membership term and the services you'll actually use. A plan that looks cheaper can work out differently once you add the things you need.
WorkLodge offers virtual-office options at Vintage Park and Woodlands. Check the current plans for what is included, and ask us about anything your business needs that isn't clear.
